Buildium data for AI training: what a smaller management company can export
Buildium's own export covers five areas, including Tasks and Communication, as .xlsx files from one settings page.1

Buildium tends to run the smaller and mid-size management company: a few hundred to a couple of thousand doors, residential rentals and community associations side by side. Its written record is spread across tasks and work orders, resident and owner requests, Resident Center messages and announcements, emails and phone logs. For an association manager it also includes board communication. Years of that show how a small team keeps residents, owners and boards informed while the repairs get done.
Unlike some platforms, Buildium documents a self-serve export in plain terms, and that export includes tasks and communication, the written part. Mercor names real estate as an industry it buys from, and Polyshares takes any company with real operating history.
This page lists what Buildium holds in writing, what its export and Open API reach and miss, the lines in Buildium's Terms of Use on ownership, internal use, API data and termination, quoted with their date, and what to ask any buyer.

Who wants this
Do buyers want Buildium property managers?
No buyer publishes prices by industry, but their own intake forms show which industries they rate higher.
- Troveo puts real estate or property in its second of four demand tiers: "Your industry carries above-average buyer demand."25
- Polyshares takes real estate and property management, without marking it premium.26
- VMS, a broker, gives real estate or property management standard weight when it estimates value.27

What buyers value
What in a company's records buyers value
What buyers look for in your records, and what to talk through with your buyer before anything leaves your systems.
| Data | Where it lives | Why a buyer values it | Raise with the buyer |
|---|---|---|---|
| Task and work order history | Buildium Tasks export | Resident, owner and to-do requests with their updates, the day-to-day queue of a management team. | Resident names and unit numbers inside task text. |
| Communication log | Buildium Communication export, emails and phone logs | Emails, announcements and call notes in one export, already dated and tied to properties. | Personal details residents share in phone calls. |
| Resident Center messages and announcements | Buildium Resident Center | How a manager writes to one resident and to a whole property, two different registers. | Nothing specific |
| Association board correspondence | Buildium Associations | Explanations of budgets, violations and projects written for volunteer boards. | Homeowner names in violation notices. |
| Rental owner requests | Buildium owner requests | The questions owners ask a manager and how the manager answers, a record of client service. | Owner identities and property finances. |
| Notes across records | Buildium notes, reachable through the Open API | Free-text context added to residents, units and vendors over the years. | Nothing specific |
A week of records
A week of data at a company
- A resident request for a broken garage door arrives through Resident Center with a photo.
- The manager turns it into a work order, assigns a vendor and logs the vendor's call in the phone log.
- An announcement goes to one building about water shut-off times on Thursday.
- A board member emails about the reserve study, and the reply goes into the communication history.
- At the end of the week, an owner request asks why a repair cost more than quoted, and the answer is filed on the property.

Selling or closing
Selling or closing your company? License its data first
Before a sale or a software switch, check the clock. Buildium's Terms of Use say it is not required to keep Owner Data after termination and may delete it, and that data may be irretrievably deleted once an account is 15 days or more delinquent. Run the export before any change in subscription.2
FAQ
Buildium data: questions, answered
Go to Settings, then Export Data, and click the data type. Buildium provides .xlsx files for Rentals, Associations, Accounting, Tasks and Communication, each holding all the information under that heading. It says it does not provide export files for all ledger financials; those come from Reports.1
Buildium's Terms of Use, updated 2026-10-05, have the customer represent that it owns all right, title and interest in Owner Data or has sufficient rights to license it. Buildium keeps a perpetual license to aggregated data with identifiers removed and combined with at least 4 other properties.46
Yes. Section 3.b.i says the Services and Output must be used solely for the owner's internal business operations. Read it with any buyer before data leaves; we quote the terms and do not interpret them.45
