Selling residential property management data for AI training: what it's worth and who buys it
7,235 US residential property managers had 10+ employees in 2022, and 2,824 had 30+.1

Residential management runs on turns. A resident gives notice, the move-out inspection is photographed and compared with the move-in, the deposit is reconciled, the make-ready crew paints and cleans, the unit is listed, showings are booked, applications come in, and a new lease is signed, ideally before the old one ends. A company managing scattered single-family homes does that across a whole metro; an apartment manager does it a building at a time.
Each turn creates a small, complete case file: condition, cost, timing and outcome, written by people who score 100 out of 100 on O*NET's email scale. Around the turns sits the daily traffic of maintenance requests, late-rent reminders, HOA violation notices forwarded from associations, and owner questions. Endless lists work orders, leasing, renewals and rent collection as in scope for this kind of company.
This page is for residential managers of single-family rentals, small multifamily and apartment communities with ten or more staff. It walks through a week of residential records, which buyers take a company of your size, why screening reports and resident details need special care, and the questions to raise with each buyer.

Who wants this
Do buyers want residential property management companies?
No buyer publishes prices by industry, but their own intake forms show which industries they rate higher.
- Troveo puts real estate or property in its second of four demand tiers: "Your industry carries above-average buyer demand."24
- Polyshares takes real estate and property management, without marking it premium.25
- VMS, a broker, gives real estate or property management standard weight when it estimates value.26

What buyers value
What in a property management company's records buyers value
What buyers look for in your records, and what to talk through with your buyer before anything leaves your systems.
| Data | Where it lives | Why a buyer values it | Raise with the buyer |
|---|---|---|---|
| Turn files: move-out, make-ready and move-in | Inspection app, work orders, photos | A complete case from notice to new lease, with condition, cost and days vacant. | Photos showing residents or their belongings. |
| Resident maintenance requests | Resident portal, AppFolio or Buildium work orders | Plain-language problem reports triaged into emergency, routine or resident-caused. | Names, unit numbers and permission-to-enter notes. |
| Showing and application records | Leasing CRM, self-showing tools | Inquiry to lease conversion, with the questions prospects actually ask. | Applicant income documents and screening reports. |
| Rent collection and delinquency notes | Accounting module, email, text | Payment plans, reminders and the judgment calls behind each one. | Resident financial hardship details. |
| Owner onboarding and reporting | Owner portal, email | How a manager explains rent pricing, repairs and vacancies to an investor who is not local. | Nothing specific |

- Wednesday: make-ready scopes sent to the turn crew, and listing copy written for the vacant units.
- Thursday: renewal offers for next month's expirations, each with a market rent note.
- Friday: owner statements reviewed and a written explanation sent for the month's largest repair.

Selling or closing
Selling or closing your property management company? License its data first
When a residential management company is sold, the buyer is usually paying for the door count and the management agreements. Your turn files and work-order history are a different set of records. Before a sale, ask each licensing company whether licensed records must be disclosed to the acquirer, and whether owners you manage for need to be told.2,3
FAQ
Residential property management: questions, answered
The workflows differ. Scattered-site managers coordinate vendors across many addresses and report to many small owners; apartment managers handle more volume at one site. Both produce the leases and inspection reports Mercor names.3
