Selling commercial property management data for AI training: what it's worth and who buys it
2,919 US commercial property managers had 10+ employees in 2022, and 1,119 had 30+.1

Commercial property management is accounting and diplomacy at once. Every January the team reconciles last year's common area maintenance charges against what each tenant paid, explains the true-up, and fields the tenant who disputes the snow removal line. During the year it bids out janitorial and HVAC contracts, coordinates tenant improvement work with the landlord's construction manager, chases certificates of insurance, and writes the monthly report the owner's asset manager reads.
Those records are dense with reasoning: lease clauses applied to real numbers, vendors compared on scope, and tenant requests weighed against what the lease actually requires. Mercor lists leases and inspection reports under real estate. The offices are typically run on Yardi or MRI, plus Outlook and a document system full of lease abstracts.
This page is for third-party managers of office, retail, industrial and mixed-use property with ten or more staff. It describes a week of commercial records, which buyers fit a firm of this size, why tenant lease confidentiality and owner rights come up more here than in residential work, and what to ask each buyer.

- Troveo puts real estate or property in its second of four demand tiers: "Your industry carries above-average buyer demand."23
- Polyshares takes real estate and property management, without marking it premium.24
- VMS, a broker, gives real estate or property management standard weight when it estimates value.25

What buyers value
What in a commercial property manager's records buyers value
What buyers look for in your records, and what to talk through with your buyer before anything leaves your systems.
| Data | Where it lives | Why a buyer values it | Raise with the buyer |
|---|---|---|---|
| CAM budgets and annual reconciliations | Yardi, MRI, Excel | Lease clauses turned into a tenant-by-tenant calculation, with disputes and their resolution. | Tenant names and lease terms the leases call confidential. |
| Tenant service requests | Work order system, building engineer logs | Requests checked against lease responsibility: whose cost is the broken door closer? | Nothing specific |
| Vendor bids and service contracts | Email, procurement spreadsheets | Scopes compared across bidders and the reason a contract was awarded. | Vendor pricing given in confidence. |
| Tenant improvement coordination files | Email, project trackers, drawings | Landlord, tenant, architect and contractor working through a build-out schedule and budget. | Drawings prepared by the tenant's architect. |
| Monthly owner and asset manager reports | Word, Excel, owner portal | Variance explanations: what went over budget and why, written for an institutional owner. | Whether the owner's management agreement treats these reports as the owner's property. |
A week of records
A week of data at a commercial property manager
- Monday: CAM true-up letters sent to 40 tenants, each with the calculation attached.
- Tuesday: a retail tenant disputes its share of parking lot repairs, and the lease clause is quoted back.
- Wednesday: three janitorial bids leveled on a spreadsheet and a recommendation written for the owner.
- Thursday: a TI coordination call, with minutes covering a late storefront and a revised turnover date.
- Friday: the monthly variance report, explaining a utility spike and an unplanned roof repair.

Selling or closing
Selling or closing your commercial property manager? License its data first
When a larger platform acquires a commercial management firm, it is usually buying the contracts and the people. The reconciliation history, vendor files and reporting templates are worth raising as a separate set of records before that happens. Ask each licensing company whether management agreements you are assigning say anything about the records, and whether a license can be completed before closing.2,3
FAQ
Commercial property management: questions, answered
Less personal data, more contract reasoning. Commercial records are built around leases, CAM reconciliations and vendor contracts, which matches the leases Mercor names. There are fewer consumers in the files, but more confidential business terms.2
Yes, and it is the part your team wrote for itself. micro1 lists templates, SOPs and task histories among what it wants, and a reconciliation workbook with its procedure is that kind of material. It can be offered without any tenant's numbers.3
Polyshares says it excludes data held on behalf of clients, and a third-party manager holds most records on behalf of owners. Ask it how that rule applies to process documents your team wrote versus each owner's property files.12
You can propose that. Nyne, for one, says you can exclude data categories entirely. In our reading, properties that left your portfolio years ago are often the simplest to start with, subject to the questions below.48

Questions to talk through with your buyer

Questions for this kind of business
- Which leases mark rent, CAM shares or other terms confidential, and are those excluded?
- Do management agreements assign property records to the owner?
- How are tenant company names and individual contacts removed?
- Who owns this data: the company, an estate, or someone else?
- Do customer, vendor or platform contracts, NDAs or API terms restrict this?
Questions for any buyer

- Can you sublicense the data, and to whom?
- Which AI labs will receive it, and will you tell us?
- How long do you keep it, and how is it deleted?
- What is your liability cap, and who indemnifies whom?
- Will the contract ban re-identification of people in the data?
- Who removes personal data, by what method, and do we approve it first?
